ProofSafe is a platform for data collection and automation that simplifies data management. It includes a mobile app and web portal, connecting users and multiple stakeholders to the Azure cloud platform. Easily customised, ProofSafe helps organisations of all types manage their data more efficiently and securely.

ProofSafe manages data input, amalgamation, analysis and outputs including automated alerts and customised reporting for both internal and external purposes.

Mobile App:

The mobile app provides a customizable solution for field-based data collection. It allows team members in the office, workshop, or remote sites to input data, capture photos and signatures, and GPS/GIS data. Additionally, documents and files can be distributed via the app and shared with remote teams as necessary.

Web-portal:

The web-portal allows users to input, manage, and analyze data, generate reports, and customize settings. The platform is scalable and user-friendly, making it suitable for organisations of all sizes.

Back-end Database:

The back-end database provides a centralized location for storing and managing data. It automates data management tasks such as data amalgamation, validation and compliance monitoring, and can be integrated with other systems for streamlined workflows.

Field-Based Data Collection

ProofSafe can be used for field-based data collection. Using ProofSafe's mobile app, field workers can capture photos, text, and other data, which is then securely uploaded to the platform for storage and management. The ProofSafe mobile app, and web-portal, with customised digital forms, allows field workers to easily input data anywhere (on or offline), while the web-portal and back-end database automates data management, eliminating the need for manual data re-entry and spreadsheet maintenance. This results in improved accuracy, efficiency, and compliance in data collection and management processes.

ProofSafe can be set up to notify key people of an alert trigger. For example, if a field crew upload a Job Safety Assessment (JSA) that includes a failure to properly manage risk, then ProofSafe can immediately flag that with the Safety Manager. Or, if data collected through the month doesn’t meet a given parameter, then an automated report could include a notification for both internal and external parties.

ProofSafe can automatically insert the information your people record into customised report templates you’ve prepared and loaded on the system. ProofSafe can then send the completed reports wherever you need them sent ― it can do that on a regular basis (say, weekly or monthly) or as soon as a form’s data set is complete and uploaded. For example, ProofSafe can send a completed Incident report ― including images, signature and map ― to your OHS/WHS manager within minutes of the incident occurring and the data being uploaded.

Each organisation is different and requires unique systems and forms ― for example: audits, risk assessments, incident or hazard reports, safety notes, toolbox meetings and asset inspections, maintenance or repairs.

Your ProofSafe systems and forms are created and customised to suit your operations ― you can edit them to keep them up to date.

Using ProofSafe you can manage complex workflow situations, for example we have a government client collecting environmental compliance data, this involves 3 levels of stakeholders and the ongoing verification of data.

Field teams on the ground record observations, this data is automatically reported up the chain, if there is an incident then alerts are raised. The data is also allocated a ‘Status’ and the mid-tier stakeholder is responsible for validation of observations. Data, reports and alerts are all controlled (and accessible) based on permissions and the monthly reports are distributed automatically incorporating progress and status.

This means that until work is checked and status updated, other related work cannot be commenced or reports signed off.

With ProofSafe it is relatively simple to set up systems that controls who can do what and when and who sees that information.

The ProofSafe integration capabilities enable it to seamlessly work with other systems, improving efficiency and reducing duplication of effort.

ProofSafe's integration works through the use of application programming interfaces (APIs), ProofSafe's API is documented and accessible, allowing simple integration with existing software systems.

For enterprise solutions we can provide a fixed cost, however usually ProofSafe is billed on your organisation’s usage, not users - this is fair!

Everyone at your organisation can have the ProofSafe App and forms on their iOS & Android mobile devices, including sub-contractors and you can create as many forms (apps) as you need.

ProofSafe billing is structured like a phone or gas bill - you pay for usage; when you’re quiet our costs are minimal, when you take on a large project your systems are ready to go. There is a small monthly subscription for the organisation plus the cost of data. ProofSafe is very economical, see our
